Handyman paperwork: estimate, contract, work order and invoice

By the BizDocs Studio team · Updated

Key points
  • •Small handyman jobs need a signed work order; larger or repeat clients need a service agreement.
  • •Write your state's handyman dollar limit and the licensed trades you do not perform into the contract.
  • •Price labor by the hour or flat per task, add a trip or minimum charge, and mark up materials you supply.
  • •Invoice the same day, with labor, materials, trip fee, tax and any deposit deducted.

Handyman work is high volume and low ticket, so the paperwork has to be quick enough to fill in at the door. It also has to protect you on two fronts: getting paid for extras, and staying inside your state's licensing limits.

Estimate: tasks, hours, materials

List each task with estimated hours and rate (or a flat price), materials you will supply, and a total. Note anything that could change the price, such as hidden damage or client-supplied parts that do not fit.

Contract: the clauses that matter

  • Pricing: flat per task or time and materials, minimum charge, trip fee
  • Materials: markup on materials you buy, rules for client-supplied parts
  • Licensed work excluded: electrical, plumbing, HVAC beyond minor repairs, structural
  • State handyman limit: jobs over the limit referred to a licensed contractor
  • Hidden conditions handled by written change order
  • Workmanship warranty period and exclusions

Work order for each visit

A work order (job ticket) records arrival and departure times, tasks done, materials used and the client's signature on site. It is the evidence behind the invoice and settles “you were only here an hour” before it starts.

Pricing basics

ItemCommon practice
Hourly rateVaries by market; price above your loaded cost
Minimum / trip chargeOne hour or a flat trip fee
Materials markup10–25% on items you purchase
Flat-rate tasksFor repeatable jobs (TV mount, faucet swap)

Invoice the same day

Send the invoice before you leave or that evening: labor, materials with markup, trip fee, tax where applicable, deposit deducted, amount due and how to pay. Same-day invoices get paid faster than end-of-week batches.

Flat rate or hourly?

Flat rates suit repeatable tasks where you know the time: mounting a TV, replacing a faucet, hanging a door. Hourly suits diagnostic work and anything with unknowns. Many handymen quote flat for listed tasks and hourly for “anything else while I'm here”, with the minimum charge covering short visits.

Client-supplied materials

Clients often buy their own fixtures to save money. Your contract should say you do not warranty client-supplied parts, that extra trips caused by wrong or defective parts are billed, and that you may decline parts that are unsafe or not to code.

Completion sign-off and warranty

A short completion sign-off with a punch list closes the job cleanly and is the best moment to ask for a review or referral. A written workmanship warranty (often 90 days or one year) builds trust and limits your exposure by stating what it does not cover: misuse, client-supplied materials, normal wear.

Insurance and licensing basics

  • General liability insurance is expected by most clients and property managers
  • Some states and cities require a handyman or home improvement registration
  • Keep certificates ready to send with estimates for property managers
  • Refer licensed trades and say so in writing

Frequently asked questions

Do handymen need a contract?

For small one-off repairs a signed work order or estimate is usually enough. For larger jobs or repeat clients, a service agreement sets pricing, materials, licensed-work exclusions and warranty.

What jobs can a handyman legally do?

It depends on the state. Many allow unlicensed handyman work only below a dollar limit and exclude electrical, plumbing and HVAC. Check your state contractor board.

Should a handyman charge for estimates?

Many offer free estimates for local jobs and charge a trip fee for diagnostic visits. Say which in your policies.
