Contractor invoice template: deposit, progress and final billing
By the BizDocs Studio team · Updated
- •A construction invoice should reference the contract, show the contract total plus approved change orders, list payments received and state the amount due now.
- •Bill at milestones written into the contract: deposit, progress payments, final.
- •State due date, late fee (where allowed) and how to pay on every invoice.
- •Track every invoice to paid; the chase list matters more than the invoice design.
Construction invoices fail in two ways: they arrive late, and they do not reconcile with the contract. A client who cannot see how the amount due was calculated pays slowly. A good contractor invoice shows the math in four lines.
The four lines every construction invoice needs
| Line | Example |
|---|---|
| Original contract | $17,102.00 |
| Approved change orders (#1–#2) | + $1,931.00 |
| Revised contract total | $19,033.00 |
| Payments received to date | − $11,420.00 |
| This invoice: substantial completion (30%) | $5,710.00 |
| Balance remaining after this invoice | $1,903.00 |
Deposit, progress and final invoices
Bill at the milestones written into the proposal. A deposit invoice reserves the start date; progress invoices follow visible milestones (rough-in passed, cabinets set); the final invoice follows the walkthrough and punch list. Each invoice should say which milestone it is for.
Retainage
On larger or commercial jobs the owner may hold back a percentage (often 5–10%) of each progress payment until completion. Show retainage withheld on every invoice and invoice the released retainage separately at the end.

Payment terms that get you paid
- Due date in days (Net 7 or due on receipt is common for residential)
- Late fee or interest where your state allows it
- Accepted payment methods with the details
- Reference to the contract and change orders
- Lien rights notice where your state requires one
Track invoices to paid
An invoice is only half the job. Keep every invoice in one list with due date, payments and balance, and look at the overdue list weekly. Our estimate template creates the invoice from the contract total; the invoice tracker follows it until it is paid and ranks overdue clients by days late.
Invoice numbering and records
Use a simple, sequential numbering scheme (for example the year plus a counter: 2026-001). Never reuse a number. Keep every invoice, credit note and payment record for at least the period your tax authority requires; the IRS generally expects records supporting income for three years or longer in some cases.
Get paid faster
- Invoice the day the milestone is reached, not at month end
- Offer card and bank transfer; fewer steps, faster payment
- Put the due date in the subject line of the email
- Follow up the day after the due date, then weekly
- Stop work on the next milestone if a progress payment is overdue, as your contract allows
Lien rights and notices
In many states contractors and subcontractors must send a preliminary notice early in a job to preserve mechanic's lien rights, and owners or lenders may require lien waivers with each payment. These forms and deadlines are state-specific; keep your state's versions alongside your invoices.
Sample payment terms
Payment is due within 7 days of the invoice date. Balances unpaid after the due date accrue a late charge of 1.5% per month or the maximum allowed by law, whichever is less. We accept bank transfer, check and card (card payments include a 3% processing fee where permitted).
Frequently asked questions
What should be on a contractor invoice?
Your company and license details, client and job address, invoice number and date, the milestone billed, contract total with change orders, payments received, amount due, due date and payment instructions.
How do I invoice a deposit?
Issue a deposit invoice at signing for the amount in the contract, check your state's deposit cap for home improvement work, and deduct it on the progress or final invoices.
Should I charge sales tax on a construction invoice?
It depends on your state. Some tax materials only, some the full contract, some neither. Apply your state's rule consistently.
